Swedish construction company offering many different services in building.

Tasks of the project:

We need to develop a service to optimize internal use between suppliers and customers. The main goal is to automate construction tender processes with the ability to use the system with unique role types.

The initial meeting involved interviewing the user to create a proto-persona

We began with the Discovery phase, recognizing the complexity of the final product. The initial meeting was pivotal, marking the first important step in tackling such a significant project. We gathered essential information and outlined the primary goals for the future solution.

The main goal of the matrix: to outline the key functional features that will be included in the first MVP, as well as identify the functionality that will be included in future stages of the project.

How does the system function?

The system has roles: super administrator, administrator, project leader.

All system participants (customer and supplier) are administrators and project leaders.

Suppliers are divided into three types: material supplier, service supplier, and quality controller.

The super administrator owns the system and has access to all data.

The work in various roles

The service has several roles, which determine the access and usage possibilities of the solution (superadministrator | customer | supplier). Each role has its own level of access to information, except for the superadministrator.

Customers

Can create tender proposals for various companies connected to the system.

They can also specify the type, order of work, and automatically generate invoices.

Project Leader

Cannot add other admins or project leaders.

Administrator

System administrators can manage all information in projects.

Super administrator

All companies are added by the superadministrator. Only they have access to change the company's organizational number, as well as access to all analytical data.

They are responsible for adding new companies to the system, ensuring compliance with system rules, and assisting participants in the tender process.

Notifications

System users receive browser notifications based on their roles. The system sends messages to all participants involved in the tender whenever there are changes, such as data editing, tender closing or cancellation, progress in the work stages, and selection of executors.

Customer: service management

The customer can easily create a tender for services or materials using a simple interface. They can see all the details of the order and proposals from service providers according to their requirements. For example, if the customer needs a material supplier, they will see proposals from material suppliers.

The customer sees information about suppliers and can approve or reject their proposals. They can place an order by selecting only one of the three suppliers (or more). This allows the customer to meet deadlines without missing out.

Additionally, the customer can verify the organization number of the company in the office of the Swedish companies registry.

Providers: service management

Suppliers (of materials, services, and quality assurance) can view orders from customers with detailed information and submit offers or reject tenders if they are not interested. The supplier can also edit company information.

The supplier also has an additional function: they can reconsider their decision and make an offer to the client, even if they previously rejected the order.

What does this mean for the client?

We've developed a tailored solution: a CRM system for internal use based on specific criteria, which simplifies operations in the construction industry.
